This document outlines the terms of cooperation between Santorini Sea Kayak and the Client.

​We reserve the right to update or change these terms and conditions at any time. Any changes will take effect when posted on our website and dated in the header notes. It is your responsibility to review the terms each time you use our services. Continued use of our services signifies your acceptance of the latest terms and conditions. These terms apply to all bookings made online, via email, or by phone.

1. Day Trip Booking Confirmation
Pre-arrangements and pre-bookings are made through email or phone, but nothing is confirmed until Santorini Sea Kayak sends a booking confirmation email specifying the program and date. Full payment must be received no later than 7 days before the trip.

• Bookings are secured only upon receipt of payment and confirmation from our bank.
• All payments must be in EUROS, via bank transfer, with any bank fees covered by the Client.

2. Late Payments
If payment is received after the due date, Santorini Sea Kayak is not obliged to accept the booking. Acceptance of late payment may require an additional 10% fee of the total trip cost.

3. Last-Minute Bookings
Requests for last-minute bookings are subject to availability. Additional charges may apply to confirm these bookings.

4. Cancellation by Client
Cancellation fees are applied as follows:

• 90–31 days before the trip: 100% refund
• 30–8 days before the trip: 50% refund
• 7–0 days before the trip: No refund
• No show: No refund

A fee of €8.80 will be deducted from any refund to cover bank transaction costs.

5. Cancellation by Santorini Sea Kayak
On rare occasions, trips may be canceled due to severe weather or other unforeseen circumstances. Clients will be offered a full refund or the option to reschedule. Tours are typically only canceled in cases of strong winds, heavy rain, or potential thunderstorms.

6. Itinerary
Itineraries are approximate plans and may change due to weather, safety, or other unforeseen conditions. Santorini Sea Kayak is not liable for additional costs resulting from itinerary changes.

7. Conduct During the Program
Clients must follow the guidance of Santorini Sea Kayak staff and guides. Participants may be excluded from part or all of the program without refund if their actions endanger themselves or others. Costs for any health or medical support provided will be billed to the participant.

8. Alterations by the Client
Sudden or unjustified changes to bookings (date, number of participants, etc.) are treated as cancellations and follow the cancellation policy.

9. Extra Expenses
​Any additional expenses requested by the Client (gratuities, extra transfers, food, etc.) must be paid on the spot.

10. Complaints & Refund Policy
Refund requests must be submitted in writing within 10 working days after the trip. Requests received after this period will not be considered. Unused services are non-refundable.

11. Physical Condition
Clients must be in average physical condition suitable for kayaking and outdoor activities. By booking, clients confirm they have no medical conditions or disabilities that could pose a hazard.

12. Weather & Safety
Outdoor trips are affected by the weather. Guests should be prepared for variable conditions, including sun, rain, wind, and fluctuating temperatures.

13. Health & Hygiene Measures

• Safe distances maintained between participants and guides
• Kayaks, paddles, and equipment disinfected daily
• Maximum participant numbers adjusted according to safety and legal standards
• Hygienic measures applied to all food and snacks, minimizing plastic use
• Guides trained to ensure smooth operation and safety

14. Travel Insurance
Clients are responsible for securing adequate insurance for all activities. Santorini Sea Kayak is not responsible for any injury, illness, or loss of property.

15. Responsibilities & Disclaimer
By booking, clients accept that participation is at their own risk. Santorini Sea Kayak provides safe equipment, trained guides, and carefully chosen routes. However, outdoor activities carry inherent risks, including injury or death.

16. Mandatory Forms

1. Waiver: Each participant must complete a waiver before the tour.
2. Equipment Agreement: Clients must acknowledge responsibility for the care of kayaks and equipment. Post-trip charges may apply for damage.
3. Experience & Medical Disclosure: Clients must provide truthful information about their kayaking experience and relevant medical history.

17. Data Protection
Personal data, photos, or videos collected during the program may be used for promotional purposes. Participants may opt out by providing a written declaration. Data will never be sold to third parties.

18. Personal Belongings
Clients can leave larger baggage at our base safely.
​Santorini Sea Kayak is not responsible for valuables brought on tours. Guests bring items such as jewelry, watches, or cameras at their own risk.

At Santorini Sea Kayak, we understand that plans can change. Our cancellation policy is designed to be fair to both our guests and our team, while reflecting the costs and logistics of preparing each tour.

1. Cancellation by Guest
If you need to cancel your booking, the following fees will apply based on the number of days before the scheduled tour:

• More than 10 days before the activity: Full refund of the amount paid
• 5 to 10 days before the activity: €10 cancellation fee
• 2 to 4 days before the activity: 50% of the total booking cost
• Less than 48 hours before the activity: Full charge applies
• No show: Full charge applies

Note: Refunds will be processed within 5–7 business days.

2. Cancellation by Santorini Sea Kayak
On rare occasions, tours may be canceled by Santorini Sea Kayak due to:

• Severe weather conditions
• Safety concerns or unforeseen circumstances beyond our control

In these cases, guests will be offered:

• A full refund, or
• The option to reschedule to another available date

Tours are not canceled for minor weather variations, such as cloudy skies or light showers, unless conditions are unsafe for kayaking.

3. Last-Minute Bookings
For last-minute bookings, availability must be confirmed by our team. Additional charges may apply to secure the booking.

4. Booking Deposit

• A 20% deposit is required at least 30 days before the scheduled activity
• The remaining balance must be paid no later than 10 days before the activity
• For last-minute bookings, full payment is required upfront

5. Important Notes

• Guests are required to arrive on time. Any guest arriving more than 10 minutes late for the scheduled pick-up or start time will not be accepted for the activity and will be charged according to this cancellation policy.
• Weather-related cancellations allow for rescheduling or full refund.
• We strongly recommend guests secure travel or personal insurance to cover unforeseen circumstances.
